A starting budget for the people, equipment and preparation behind your event. These are planning estimates, not fixed quotes. The final scope and price are confirmed in a written proposal.

The starting scopes below assume one suitable indoor venue in Dunedin, straightforward ground-floor access, normal local delivery, setup and pack-down, and the guest numbers and duration stated. They are informed by current New Zealand event-service and production costs.

GST treatment will be confirmed in your written proposal. Before you accept, the proposal will state the total payable, any applicable GST and all mandatory charges for your event. Travel beyond the local scope, freight or unusual access requirements are quoted separately.

What changes the price

Additional facilitators, more guests, a longer programme, bespoke story or quiz writing, actors, buzzers, illuminated podiums and multiple screens change the scope. Murder mystery and game-show programmes sit in this family, with any specialist preparation and equipment added to the proposal.

Starting scope: Production for a three-hour dinner or presentation programme with 30–40 guests, using an existing indoor venue and presentation area.

  • A standard backdrop and modest table or display styling

What changes the price

The starting scope uses the venue’s existing floor-level presentation area. Raised stages, LED walls, bespoke product displays, extensive screen content, technical operators, performers and catering are additional. Launches, conference after-parties and charity functions use this family when their production needs are comparable. Outdoor or multi-zone festival and carnival formats require a larger tailored scope.

What sits outside these starting scopes?

We identify relevant extra costs before you accept a proposal. An item is included only when it is expressly named in the scope.

  • Venue hire, catering and beverages.
  • Travel beyond the stated Dunedin allowance, freight and accommodation.
  • Security, special licences and exceptional venue access costs.
  • Specialist performers, photography and staffed photo experiences.
  • Major staging, large-format LED walls and custom fabrication.
  • Extensive technical operation, content creation or live production.
  • Outdoor infrastructure, shelter and additional weather arrangements.
  • Extra hours, overnight access or a separate room turnover.

Build a budget around the priorities.

The format, guest count and duration affect the production differently. We will explain the trade-offs in the actual event brief.

Keep the central experience

If hosted entertainment matters most, begin with the tables or activity and keep the room treatment focused. If a company presentation is the main purpose, protect sightlines, speech clarity and coordination before adding decorative installations.

Combining services does not always mean adding each starting price together. Some preparation or delivery can be shared, while a longer programme may need additional personnel. We price the combined scope in the proposal.

Confirm the details that affect cost

The date, venue, number of guests, access route and programme length help us assess the work. A room with suitable existing equipment may need less brought in; a remote site or compressed setup window may need more.
