Ludo Hearth organises casino-themed and themed offline events, from a private evening around hosted tables to a company dinner with speeches, entertainment and a room full of guests.

A reason to gather

A birthday needs a different pace from an awards ceremony. At a private party, you might want long stretches for conversation. At a corporate function, a welcome, dinner service and stage programme have to work together. We build the event around those moments, then choose the styling and activities that fit.

Casino-themed evenings bring a host and guests around familiar table formats. Guests can join a short explanation, watch a round or move between tables and the rest of the room. The entertainment can be the focus of the evening or one part of a larger programme.

A plan you can work with

Tell us the occasion, guest estimate, location and preferred date. We bring those details into an event brief: the programme, equipment, people, room layout and time needed for setup and pack-down. You can see how the pieces fit before confirming the booking.

Our base is Dunedin, with events arranged around New Zealand. The proposal accounts for the actual location and travel, so a room nearby and an event further afield receive a plan suited to their logistics.

From the first conversation
to the last guest.

The work behind the evening starts with your brief. We agree what happens, who is responsible and when each part needs to be ready.

  1. Talk through the brief

    Share the occasion, approximate numbers and the atmosphere you want. We ask about the venue, arrival time, food service and any moment that must sit at the centre of the programme.

  2. Choose the scope

    We bring together a concept, proposed running order and itemised scope. You can compare essential elements with additions such as a photo setting, branded signage or more extensive technical production.

  3. Prepare the room

    Once the booking is agreed, we coordinate venue access and deliveries. Equipment placement, power, guest routes and the setup window are worked through before anything is installed.

  4. Host the programme

    Hosts explain the activities and help guests join in. The agreed coordination role connects entertainment with speeches, dinner and transitions so the evening has time to breathe.

  5. Close & pack down

    We finish at the agreed time, allow guests to leave the activity areas and remove the equipment and décor. Venue access and collection arrangements are part of the plan from the start.

What goes into your event?

Your written proposal names the people, equipment and production elements included. Select the parts that serve the occasion; larger installations and specialist suppliers are priced separately.

Dinner, then the tables

A company gathering that starts with conversation, pauses for dinner and opens into hosted table entertainment. A short welcome and a planned transition keep speeches from competing with the activity.

A useful event brief makes decisions easier. We focus on the details that change how guests spend their time, how the room works and what the organiser needs to coordinate.

For your guests

People arrive with different interests. A combination of hosted activity, seating and open conversation lets them take part at their own pace. Tell us about mobility, hearing or sensory needs early so we can discuss the room layout, explanations and timing before choosing equipment.

For a company event, the programme can make space for recognition or a team task. For a private celebration, it can leave the spotlight on the guest of honour and the people around them.

For the organiser

You need to know what is included and what still needs arranging. We separate production from venue hire, catering and other supplier costs, identify who is handling each part and put the timing in writing.

If an agency, venue manager or internal events team is already involved, tell us where we fit. We can shape the agreed production scope around the work you have already done instead of duplicating it.

Before you enquire.

Can you work with a venue we have already chosen?

Yes. Send the location, room dimensions if you have them, and your venue contact. We’ll discuss access, available space, power and the timing of setup before confirming a suitable arrangement.

Does the event need to run for seven hours?

No. Seven hours is the maximum event duration. A short hosted activity can sit inside a dinner or conference programme. The proposal sets out the guest programme and the separate access time needed around it.

How do we choose the number of tables?

Guest count is only part of the decision. We also consider whether everyone will take part at once, the length of the activity and whether dinner, music or other stations run alongside it.

Can you include our company branding?

We can discuss branded backdrops, signage, displays and screen content. Send your artwork guidelines and explain where the brand needs to appear. Custom production and artwork preparation are included only when named in the proposal.

What if we have not chosen a theme yet?

Tell us the occasion, guests and budget priorities. A description such as “a dinner with something to do afterwards” gives us a useful place to start. You can choose “Still deciding” in the enquiry form.

Does an enquiry confirm our booking?

No. We first review the date, location and scope. A booking is confirmed only when the written proposal is accepted and its confirmation requirements have been met. See our Terms and Conditions.

Are catering and venue hire included?

They are separate unless your proposal specifically includes them. The same applies to travel beyond the quoted local allowance, accommodation, major staging and specialist performers. Our pricing page explains the starting scopes.

Once you email it, Ludo Hearth holds your details to respond and plan your event, with access limited to the people helping with your enquiry. You can ask to access or correct your information.
