It may be time to thank a team, mark a birthday, welcome clients or bring people together after a conference. That reason comes before the choice of props, lighting or entertainment.

What we do

Ludo Hearth’s service is the organisation of casino-themed and themed offline events in New Zealand. The work can include concept planning, a running order, selected equipment and décor, hosts and coordination at the venue.

Our event formats span hosted casino-themed evenings, corporate dinners and awards, interactive team activities and private celebrations. Each begins with a defined brief, then grows into a scope that reflects the people, space and time available.

Where the work begins

We are based in Dunedin and arrange events around New Zealand. An event’s location affects how people, equipment and suppliers come together, so we consider access and travel alongside the creative direction.

A useful first conversation does not need a finished plan. Tell us what the occasion is for, the approximate numbers and any date or venue already chosen. We will discuss what needs to be decided next.

Guests experience an event through a sequence of moments: arriving, finding someone to talk to, sitting down, taking part and saying goodbye. We plan the running order with that sequence in mind.

  • Describe the job clearlyWe distinguish styling, hosted entertainment, technical production and coordination. Your written scope names the elements and people included so you can see which responsibilities sit with us.
  • Use the room thoughtfullyExisting furniture, lighting and venue facilities may already support the programme. We consider what is available before deciding what else needs to be brought in.
  • Give each role a purposeA table host introduces an activity, an MC carries announcements and a coordinator manages agreed handovers. Where more than one role is needed, we identify it and plan the staffing accordingly.
  • Make changes visibleA longer programme, an extra activity or a different venue can change the production. We discuss the effect on timing and cost before agreeing the revised scope.

Working alongside your people.

Some hosts start with a venue and a guest list. Others already have an agency, caterer or internal events team involved. We agree where our work fits.

Companies & agencies

Share the event objectives, approval process and the suppliers already appointed. We can shape the production around a company running order, brand guide or conference programme. Your proposal identifies the part we are responsible for and the contacts needed to carry it out.

If your organisation is presenting awards, launching a product or raising funds, your team remains responsible for approving the underlying content and arrangements. We can help plan how it is presented in the room.

Private hosts & venues

Tell us which elements you enjoy arranging and where you want help. We can discuss a focused entertainment session or a broader themed event. The plan accounts for setup, the programme and removing the agreed equipment afterwards.

Venue managers bring essential knowledge of the space. We work with the access information and rules you provide, and discuss the requirements of the selected activities before confirming the event.
