Let’s plan
your event.

Tell us the occasion, the guest estimate and the date you have in mind. We’ll use those details to discuss a suitable programme and the next planning decisions.

Start with what
you know.

You do not need a finished event brief. If the venue or date is still open, describe the occasion and what you want guests to do together. We can discuss the options from there.

Use the form to prepare a message, then open it in your email app and send it to our team. Your email can include room photographs or a floor plan if you already have them.

Prefer a conversation? You can email or call us directly.

Prepare your enquiry, then send the ready-to-use message from your email app. We’ll respond about the date, venue and programme. An enquiry does not reserve a date.

Name, email, event type and message are required to prepare your enquiry; the other fields are optional. Once you email it, Ludo Hearth holds your details to respond and plan your event, with access limited to the people helping with your enquiry. You can ask to access or correct your information. Read our Privacy Statement. Your enquiry does not subscribe you to marketing.

What happens after your email?

We review the brief before making a proposal. Your enquiry starts a conversation; a date becomes a booking only when the written confirmation requirements are met.

We talk through the details

The date and location help us check availability and logistics. Guest numbers and the occasion help us review the format. We may ask about the room, access, dinner service, branding and the time you want the programme to finish.

If you have an overall budget, include it in your message. Knowing the priorities helps us choose which elements belong in the proposal and which should be treated as optional additions.

You receive a defined scope

A written proposal sets out the selected services, programme, costs and confirmation terms. It identifies venue hire, catering, travel and other supplier costs separately where relevant. You can ask questions and request changes before deciding.

Once a booking is confirmed, we agree the next deadlines for guest numbers, artwork, access details and the final running order. The exact steps depend on the event you choose.

A few details worth mentioning.
